Below are {{response_count}} responses to the question: "{{question}}". Each response is on its own line.
1. Group the responses into at most {{max_themes}} themes. Name each theme in a few words.
2. For each theme, count the responses that mention it. A response can belong to more than one theme.
3. For each theme, quote two or three short responses word for word.
4. List responses that fit no theme under "Other".
5. End with a check: the total number of responses you read.
Do not add themes that no response mentions. Do not correct spelling in quotes.

Fill in the prompt
Filling in on the page needs JavaScript. Copy the prompt by selecting it, then replace each placeholder in your tool.
| Placeholder | What to put there | Example |
|---|---|---|
{{question}} | The question people answered. Exactly as it was asked. | What one thing would improve the workshop? |
{{response_count}} | Number of responses. Used to check that none were skipped. | 48 |
{{max_themes}} | Maximum number of themes. Six to eight keeps it readable. | 7 |
{{responses}} | Responses. One per line. Remove names and contact details first. | (paste the responses here) |
Is it the right prompt?
Use it when
- You have dozens of free-text answers and need a first pass.
- You want quotes to illustrate a report.
Skip it when
- The counts will be published as statistics; count by hand or with a script.
- Respondents were promised their answers would not be processed by third parties.
How to adapt it
- You already have a coding frame
- Give the theme names and ask the model to assign responses only to them.
- Counts matter
- Ask for each response's number next to its themes, then count in a spreadsheet.
Check the answer
Before you rely on the result, confirm that:
- The total at the end matches the number of responses you pasted.
- Every quote appears word for word in the responses.
- Counts look plausible when you scan a theme's responses yourself.
Watch out for
- Accuracy Model counts are approximate. Do not publish them as statistics without checking.
- Privacy Free-text answers often contain names or identifying details. Remove them before pasting.
