The prompt

Below are my rough notes from a meeting about {{meeting_topic}}. Attendees: {{attendees}}.

Sort the content into four sections:
- Decisions: what was agreed. Only include something if the notes show it was agreed.
- Actions: a table with the columns Action, Owner, Due. Use an owner or date only if the notes name one; otherwise write "not set".
- Open questions: things raised but not resolved.
- Unclear: anything in the notes you could not interpret, quoted as written.

Keep my wording where you can. Do not add actions that are not in the notes.

Is it the right prompt?

Use it when

  • You took quick notes and need to send a follow-up today.
  • Actions from past meetings tend to get lost.

Skip it when

  • The meeting was recorded and you need an exact record; use the transcript.
  • Participants did not agree to their discussion being processed by an AI tool.

How to adapt it

You use a task tracker
Ask for the actions in the tracker's import format, for example one line per action.
The meeting had a fixed agenda
Paste the agenda first and ask for the four sections per agenda item.

Check the answer

Before you rely on the result, confirm that:

  • Every owner and due date can be found in your notes; the rest say not set.
  • Nothing in Decisions was only discussed.
  • The Unclear section quotes your notes rather than guessing what they meant.

Watch out for

  • Effect on people An action assigned to someone who did not agree to it causes friction. Confirm owners before you send the summary.
  • Privacy Meeting notes often contain personal or confidential details. Remove them or use a tool approved for them.
